Acceptable forms of payment: Cash, Money Orders, Visa, Mastercard, and Discover.

Hold Harmless Agreement: By ordering from Affairs Afloat Balloons you agree to hold harmless Affairs Afloat Balloons, and any employees associated with the company, from any of the following: Helium Inhalation, Suffering from lack of oxygen, Slipping on broken balloons, Latex allergies, Children having access to balloons before, during or after events, Children putting balloons in their mouths and choking, Eye/facial/body injuries from popping balloons, Heart attacks from popping balloons, Hearing loss due to popping balloons, Lesions, abrasions, suffocating, injuries, choking, broken body parts, death incurred by popping balloons, loss of sight, loss of hearing, dizziness, drowsiness, loss of consciousness

Décor and Installations:

Terms of payment: There is a $50.00 non-refundable booking fee required to reserve the date. Payment is required in full the day prior to the event unless other arrangements have been established such as corporate accounts. Credit cards are charged the week of the event.

Cancellations: Should event be cancelled by client after the date of this contract the $50 non-refundable booking fee will be forfeited up to 7 days prior to the event, then the following schedule will apply:

  • In the event that the contracted event b cancelled by client anytime to 7 days prior to the event and rescheduled for another date within the same calendar year a $100 rebooking fee will apply.
  • In the event that the said event is cancelled by client 7 days to 72 hrs of the said event, 50 % of event total will be due.
  • In the event that the said event be cancelled by client within 72 hrs of the of the event date, 75% of event total will be due.
  • In the event that the said event is cancelled by client within 24 hrs of event, 100% of total is due.

Outdoor Events: Outdoor events cannot be guaranteed due to unforeseen changes in weather. In the event of inclement weather the client should notify Affairs Afloat Balloons more than 24 hours prior to cancelling the event to receive a complete refund, when notified within 24 hours of event, Affairs Afloat Balloons will issue a credit in the amount equal to 75% of the event total. For all outdoor events, classic balloon décor, deliveries, and sculptures CANNOT be guaranteed against popping/distortion due to weather and outdoor conditions. All sales are final.

Bad Weather Clause and design change fees: In the event that bad weather prevents the installation or completion of the job, 25% of total job or $250.00 booking fee (whichever is less) will serve as payment in full.

In extreme weather conditions guarantee of balloon float time and general condition of balloons cannot be made. Payment, should job be completed, will be owed in full.

A minimum design change fee of 50% based on original cost of element being changed will apply to all changes made after the date of this contract. Fees may vary depending on the extent of the change.

Pool Installations: On pool installations, Affairs Afloat Balloons cannot be held liable for: (1) Slipping or falling on broken balloons. (2) Damage of filtration system caused by broken balloons. (3) Damage to pool or pool systems not otherwise listed. This to include but not limited to any damage.

Balloon Drops/Releases: Additional Terms and Conditions may apply for balloon drops and releases, depending on the venue and required staff.

Ownership of Materials/Equipment: Equipment is property of Affairs Afloat Balloon and is provided on a rental basis only. It is agreed that there will be a refundable equipment fee of $50.00. Equipment should be returned to Affairs Afloat Balloons at: 8900-C White Settlement Rd, Fort Worth, Texas 76108 or the refundable equipment fee deposit is prorated by 25% per day as late charges. Affairs Afloat Balloons is not being contracted to retrieve equipment. Should all equipment not be available to retrieve in the event that Affairs Afloat Balloons is contracted, the equipment fee will be prorated to reflect missing equipment.

Safety Warnings: Balloons can cause a choking hazard and once the balloons have been delivered Affairs Afloat Balloon no longer accepts any liability, children should be monitored to ensure they do not suck helium or swallow balloon particles. Balloons in swimming pools can damage filter system and Affairs Afloat Balloon does not assume any responsibility for pool equipment if damaged.

DO NOT allow anyone to inhale helium from the filling equipment or from balloons! Inhaling helium gas directly from high-pressure tank can cause loss of consciousness.

SYMPTOMS: exposure to an oxygen deficient atmosphere (less than 19.5%) may cause dizziness and drowsiness to themselves.

FIRST AID MEASURES: INHALATION: Persons suffering from lack of oxygen should be moved to fresh air. If victim is not breathing, administer artificial respiration. If breathing is difficult, administer oxygen. If the person has no pulse, administer CPR or dial 911 for emergency help.

Gifts and Bouquets Cancellations/Changes/Refunds:

Submitting an order indicates acceptance of the following cancellation policy.
1. CANCELLATION AND CHANGE DEADLINES
A. For purchases under $500: The deadline to submit your request is 9am, Central Time, the day prior to delivery. A credit for moneys paid will be issued to be used on your next event. Orders cancelled or changed after this deadline are subject to a cancellation charge ranging from $25 to 100% of the order value, depending on the extent of preparations made for the order.

We are normally unable to cancel or change an order on the date of delivery.

B. For purchases over $500: The deadline to submit your request is 9am, Central Time, 5 days prior to delivery. A credit for moneys paid will be issued to be used on your next event. Requests received after this deadline are subject to a cancellation charge ranging from 15% to 100% of the order value, depending on the extent of preparations made for the order.

We are normally unable to cancel or change an order on the date of delivery.

2. HOW TO CANCEL AND CHANGE
Please call 817-367-3100 (preferred) or send your request by email to balloons@aaballoon.com. Please consider your order canceled or changed ONLY when you have received a confirmation by email.

3. INCLEMENT WEATHER
If Affairs Afloat Balloons is unable to deliver an order due to inclement weather, the customer will be notified as soon as possible to arrange for rescheduling or a cancellation and refund.

PRODUCT AND SERVICE COMPLAINTS
We will take prompt action to address service issues that are reported no later than 3 days after delivery. After this deadline no replacements, refunds, or credits will be issued. In order for us to provide a replacement or refund, we require that a photograph of balloons reported as defective be emailed to balloons@aaballoon.com with a note providing the order number.

BALLOON DELIVERIES TO A BUSINESS
If the recipient is unavailable when we arrive, the balloons will be left at the business location.

BALLOON DELIVERIES TO A RESIDENCE
Balloons must be accepted in person and will not be left at the entrance unattended. The local dispatcher will call the residence and arrange a delivery time to ensure that someone will be at the residence to accept the order. This call will be made the morning of the scheduled delivery date or the day prior to delivery. If the call is made on the scheduled delivery date and the recipient is unavailable to accept the call, the order may arrive later than the posted deadline. The arrival time will be contingent on when the recipient returns the dispatcher’s call.

BALLOON DELIVERIES TO A HOSPITAL
We will contact the hospital prior to delivery to ensure that balloons are permitted for the patient and to ensure that the patient is still a hospital guest. Only mylar balloons are permitted for hospital orders.

BALLOON DELIVERIES TO A HOTEL
Deliveries to hotel guests are made in care of the front desk, bell desk, or concierge. The customer is responsible for ensuring that the hotel completes the delivery.

BALLOON DELIVERIES TO A SCHOOL
Not all schools permit balloon deliveries to students. Those that do require that the delivery be made to the main office. The customer is responsible for ensuring that the school office contacts the student to pick up the balloons.

FLOAT TIMES

If used indoors, we guarantee the following float times:
11-inch latex balloons treated with Hi-Float: 2 days
11-inch latex balloons not treated with Hi-Float: 16 hours
16-inch latex balloons treated with Hi-Float: 3 days
16-inch latex balloons not treated with Hi-Float: 30 hours
Mylar balloons: 3 days

There are no float time guarantees if balloons are used outdoors.

DELIVERY SUBSTITUTIONS

GIANT NUMBERS AND OTHER MYLAR SHAPES
Megaloon number balloons may be any color (not necessarily Blue).
Double Megaloon numbers may be two different colors.
Specific mylar balloon shapes are not substituted unless that possibility is noted in the bouquet or balloon description.

GENERAL OCCASION 18-INCH MYLAR BALLOONS

Sentiment will not be substituted. Design may vary.

LICENSED CHARACTER 18-INCH MYLAR BALLOONS
Character and sentiment will not be substituted. Design may vary.

PERSONALIZED NAME BALLOONS
Balloon design will not be substituted. Press-on letters are used for personalization.

PERSONALIZED AGE BALLOONS
Balloon designs may vary. Press-on numbers may be used.

LATEX BALLOONS
Airspray and birthday graphics and colors may vary. A rainbow assortment will be used.
Big Polka Dot graphics will not be substituted.
With orders of plain latex balloons we will not substitute colors requested by the customer.

FLOAT TIMES

RECYCLABLE MYLAR BALLOONS (FOIL)
In balloon-friendly environments, mylar (foil) balloons will remain full and taught for at least 3 days. Air-conditioned air may cause these balloons to shrivel, but they will return to a normal state when exposed to warmer air.

BIODEGRADABLE LATEX BALLOONS (RUBBER)
16-inch latex balloons will float indoors for 30-40 hours.
11-inch latex balloons will float indoors for 12-16 hours.

HI-FLOAT TREATMENT FOR LATEX BALLOONS
Latex (rubber) balloons, used indoors and out of direct sunlight, will float for at least 2 days if treated with Hi-Float, a non-toxic sealant which coats the inner wall of the balloon.

BALLOON SIZES

The noted dimensions of mylar balloons are their size uninflated, as designated by manufacturers. A mylar balloon with a noted size of 18 inches will be closer to 13 inches once inflated. This discrepancy is not as significant with larger mylar balloons. For example, a 28-inch mylar would typically be 24 inches at the widest point after inflation.
The dimensions of latex balloons is their inflated size. For example, an 11-inch latex balloon has an 11-inch diameter at the widest point.
